The Question Nobody Asks Before Buying Software

Software Buying Mistake Nobody Talks About
Most software buyers compare features and price, then skip the one question that matters: does your data carry context between tools?

Before you buy a platform, you ask about features. You ask about pricing. You ask about integrations, support, and whether it works on mobile.

Almost nobody asks the question that determines whether any of those answers matter: what happens to the data between the features?

Every platform has a CRM. Every platform has email. Most have some version of a landing page builder, a calendar, and maybe a follow-up system. The features sound similar because, at the surface level, they are similar.

The difference is in the space between them. When a lead fills out a form, does that information automatically appear in the CRM with context about where the lead came from? When you send an email, does the system know whether that contact already received a follow-up message through another channel? When a team member opens a contact record, do they see the full conversation history or just the pieces that happened inside one feature?

Those aren’t feature questions. They’re architecture questions. And architecture is the thing almost nobody evaluates before buying.

The reason this matters is that disconnected features create invisible work. You become the integration. You copy data from the form into the CRM. You check the email log before sending a follow-up so you don’t double-contact someone. You build a spreadsheet that tracks which leads came from which page because the platform doesn’t connect those two things on its own.

That invisible work compounds. It starts as a five-minute task and becomes a daily ritual. It starts as a workaround and becomes a process. And eventually, you’re spending more time managing the gaps between your features than you are using the features themselves.

The software didn’t fail. The architecture did. The features were there, but the spaces between them were empty.

The next time you evaluate a platform, skip the feature checklist for a moment. Instead, ask one question: when data moves from one part of this system to another, does it carry context with it?

If the answer is yes, the features will work together. If the answer is no, you’ll be the one making them work together. And that’s a job description nobody signed up for.
